    The primary purpose of this position is to assist RUSM in the design and implementation of programs, policies and practices to ensure compliance with local and federal government immigration regulations while attending RUSM.

     

    This position is responsible for coordinating the tracking and overall compliance of all immigration regulations across the US and any country that partners with RUSM and its academic program. This includes islands in the Caribbean during the Medical Science portion of the curriculum, and during the clinical sciences semesters in the US.

     

    This position will have overall responsibility to ensure compliance to include the following government agencies: DHS divisions: U.S. Department of State (DoS), U.S. immigration & Customs Enforcement (ICE), the U.S. Customs & Border Protection (CBP), and the U.S. Citizenship & Immigration Services (USCIS). In addition, it will ensure compliance to all Caribbean countries.

     

    The Immigration Support Specialist will be current with visa and immigration policies, regulations and procedures to ensure organizational compliance. Responsibilities include ensuring the institution is in compliance with immigration regulations by reviewing and providing compliance reporting.

     

    Responsibilities

     

    • Tracking: works with the administrative offices in processing visa applications and renewals for students and dependents. These functions include but are not limited to receiving files, verifying the submission of documents, reviewing documents for accuracy, submitting passports to the government and local police department, compiling and submitting complete packets to any immigration offices, tracking status of applications, maintaining student immigration paperwork, and distributing visas upon issuance. 
    • Monitors student visa expiration dates to proactively initiate the renewal process if required.
    • Assists with maintenance of student immigration records, ensuring that all student data is current and accurate in Elucian Banner.
    • Partner closely with the Senior Student Services Advisor to align support, training, process, and compliance across all students attending RUSM.
    • Collaborate and partner with the Director of Student Service Operations and Immigration for all escalated and non-compliant students.
    • Provide immediate and escalated support during times of business continuity, disaster planning and recovery in relation to immigration process, tracking, reporting, and compliance
    • Review Salesforce case submissions submitted for immigration documents submission and ensuring that the student record is updated and remains current for immigration tracking.
    • Respond to inquiries submitted to RUSM related to immigration and dependent information.
    • Assist in the preparation of processes, procedures and training for institutional colleagues engaged in supporting immigration tracking and compliance.
    • Review internal and external-facing documents to ensure organizational compliance with DHS regulations and ATGE policies,
    • Ensure that monthly compliance reporting is issued to senior leadership.
    • Completes other duties as assigned

    • Bachelor’s degree required
    • 3 years in compliance or immigration preferred but not required and a minimum of 4 years of professional experience
    • Strong communication skills, adaptability, multi-tasking, project management and qualitative analytical research
    • Excellent writer, problem solver, organized, independent worker, works well with others required
    • Working knowledge of MS Word, PowerPoint and Excel
    • Self-starter with a strong work ethic with a drive to maintain and increase relevant knowledge and skills

    Education, Experience, Knowledge and Skills

     

    • Customer service experience, student advisement experience
    • Candidates must possess excellent interpersonal, both written and verbal communication skills and the ability to effectively interact with staff, faculty and students.
    • Candidates must possess problem-solving skills and the ability to exercise judgment in addressing and/or escalating issues.
    • Proficiency in Microsoft office applications is required and some knowledge of and experience with higher education software platforms (i.e. Banner, Salesforce) is preferred.
